What software does CogniSoft provide?

CogniSoft provides two core platforms: YETI and IO. YETI is a single platform designed to support organisations delivering funded learning, skills, training and employability programmes. Built to work across both the learning and skills sector and the employability sector, YETI brings learner management, case management, funding, compliance, reporting and outcomes together in one joined-up system. For organisations focused on employability, careers, youth support or wider case management, YETI provides the flexibility to manage participants, interventions, outcomes and reporting within the same platform. For organisations delivering apprenticeships and wider skills provision, the additional functionality required to support these programmes — such as the inbuilt ePortfolio, remote learner onboarding, learner portal and course portals — is branded as YETI Infinity. IO is our configurable case management and CRM platform, designed for Local Authorities and organisations delivering careers advice and guidance, NEET tracking, community learning and development and other case-managed services — with built-in NCCIS reporting and validation to support statutory returns.

What kind of support does CogniSoft provide?

Customers have access to our friendly and knowledgeable in-house Support Team in our Manchester office, who are available to assist with queries, issues and day-to-day system guidance. Each customer is assigned a dedicated Account Manager who will arrange regular service reviews to help ensure the software continues to meet their needs. We hold regular in-person and online User Groups, giving customers the opportunity to share feedback, network with other organisations and help shape our future product roadmap. Maintenance is planned out of hours and our services operate at 99.9%+ uptime, so your teams can rely on access to the system when they need it.

Can we speak to existing customers before making a decision?

Yes. Where appropriate, we can arrange for prospective customers to speak with existing clients so they can hear first-hand about their experience with CogniSoft, our products and our support.

Where is our data hosted?

All customer data is hosted securely within the UK.

How does CogniSoft protect sensitive data?

Security is a core part of the CogniSoft proposition. Our platforms include role-based security, controlled permissions, authentication, audit trails and tools to support data protection processes. This helps organisations control who can access information, maintain data integrity and protect sensitive learner, client and participant records. Access can be be further secured with Two-Factor Authentication and Single Sign-On. CogniSoft is ISO 27001 certified and has maintained a mature Information Security Management System since 2011.

What security certifications does CogniSoft hold?

CogniSoft holds the following security certifications: • ISO 27001:2022 — CogniSoft has been certified to the ISO 27001 information security management standard since 2011. This means our systems, processes and controls are independently audited against international best practice. • Cyber Essentials Plus — we hold Cyber Essentials Plus accreditation, the UK government's technical verification of an organisation's defences against common cyber threats. This is particularly relevant for organisations trusting us with DWP claimant data, Local Authority records and learner personal information. We also commission annual independent penetration testing of our platforms by accredited security consultants.

Can we purchase CogniSoft software through G-Cloud?

Yes. YETI and IO are both listed on the G-Cloud Digital Marketplace, the UK government's procurement framework for cloud software. This means public sector organisations, including Local Authorities and Combined Authorities, can procure CogniSoft software directly through the framework without running a separate tendering process.

Do CogniSoft systems support GDPR compliance?

Yes. CogniSoft operates within a robust governance framework, and our systems are designed to support compliance with UK GDPR and the Data Protection Act 2018. Both YETI and IO include tools designed to support GDPR-related processes, including Subject Access Requests and data retention requirements. Access to sensitive data can also be controlled through role-based security groups, helping organisations ensure users can only view and manage information relevant to their responsibilities.

Do CogniSoft systems integrate with other platforms?

Yes. CogniSoft supports a range of integrations with third-party providers and services. These include: • Single Sign-On • SMS messaging providers • Address lookup services • Department for Education data services • Department for Work and Pensions data services • Other third-party tools and platforms Both YETI and IO have documented APIs that can be used to support integrations with third-party systems.

What happens during implementation?

During implementation, you will be assigned a dedicated Implementation Consultant and Account Manager. They will work with your team to understand your requirements, configure the system, deliver relevant training and support your organisation through the implementation process. Once implementation is complete and your team is confident using the system, you will be introduced to our in-house Support Team for ongoing assistance. Users also have access to our Help Centre, which is accessible from within the application.

How long does implementation typically take?

Implementation timescales depend on the size and complexity of your organisation, the number of services or contracts being delivered, the amount of configuration required and whether data migration is needed. Our team will discuss your requirements and provide a more accurate implementation timescale as part of the sales and discovery process.

Can CogniSoft migrate our existing data?

Yes. CogniSoft can support the migration of existing data into YETI or IO. Our team will work with you to understand your current data sources, review the information being migrated and help ensure data is transferred accurately into the new system.

What happens to our data if we stop using CogniSoft?

At the end of a contract, a data extract can be provided on request, in a non-proprietary format so it can be transferred to another system. Where a data extract is not required at the point of contract end, customers are instead provided with an encrypted database key. Should access be needed in future, customers would need to contact CogniSoft, who would use the key to retrieve it on their behalf.

What training is available?

CogniSoft offers a range of training sessions to help users get the most from the system. Training requirements are identified during implementation and are tailored depending on your organisation, system configuration and user roles. Training covers areas such as system administration, day-to-day user processes, reporting and compliance.

What is YETI?

YETI is CogniSoft's learner and programme management platform. It is designed for organisations delivering funded skills, training, learning and employability programmes. YETI brings learner management, funding, compliance, reporting, employer engagement and outcomes into one flexible system. For organisations delivering apprenticeships and wider skills provision, YETI Infinity extends the platform with everything needed to deliver programmes end to end — including an inbuilt ePortfolio, remote learner onboarding, and learner, employer and course portals. Because these tools sit within the same platform as the core MIS, there is no separate system to integrate or reconcile: delivery, funding, compliance and reporting all stay connected. The platform helps reduce administration, improve visibility, support compliance and give teams a clearer view of their provision.

Progress can be tracked against Knowledge, Skills and Behaviours (KSBs) and assessment criteria, giving learners, tutors and employers a clear, shared view of how far a learner has progressed at any point in their programme. The ePortfolio also supports Internal Quality Assurance (IQA) sampling of evidence, with built-in feedback workflows, notifications, messaging and sign-off, backed by a full audit trail - helping providers demonstrate quality assurance to Ofsted and funding bodies. Off-the-job training hours can be recorded and monitored throughout, helping providers evidence that apprenticeship requirements are being met. YETI Infinity also includes secure remote learner onboarding, so learners can be enrolled and complete their initial paperwork online — particularly useful for providers working with learners and employers across different locations.

Can tutors manage reviews and communication with learners and employers?

Yes. Within YETI Infinity, tutors and assessors can schedule and record reviews and sessions, and communicate directly with learners and employers as part of the learner journey. Because this sits on the same platform as the ePortfolio, funding and compliance data, there is no need to move between separate systems to deliver, evidence and report on a programme.

YETI includes comprehensive validation to help improve data quality and support compliance. The system includes over 300 built-in business rules, helping validate data at the point of entry. Users can be prompted to complete mandatory fields, correct errors and resolve issues before they become bigger problems later in the process. This helps reduce the risk of funding or compliance issues during submissions, audits or contract monitoring.

Does YETI support ILR submissions?

Yes. YETI generates ILR submission files and validates learner data at the point of entry against current funding rules, helping providers identify and resolve errors before submission rather than after. Batch export functionality allows submission data to be generated for the relevant contracts and periods at the click of a button, and reconciliation tools help providers compare funding body figures against YETI data and quickly highlight any discrepancies. For providers delivering in Wales, YETI also supports Welsh LLWR data entry and funding rules, with a dedicated LLWR export tool for generating submissions. This helps providers submit accurate, audit-ready funding returns with confidence.

How quickly are funding rule and compliance changes reflected in YETI?

CogniSoft takes a proactive approach to funding rule and compliance changes from bodies such as the Department for Education and the Department for Work and Pensions.
